Tips: Reviewing documents
When
working on a document, a fresh set of eyes is indispensable to spot typos, organizational
problems, and other mistakes. But if several people are reviewing your document
at once, chances are you'll be banging your head against the keyboard trying to
sort through multiple versions of the same document. Microsoft
Word and Outlook® (2000 and XP) make it easy to gather comments from many
people in a single document. Using Word's built-in routing feature, you can set
up a routing queue using your contacts in Outlook to send the document out for
review. Once someone has reviewed your document, Outlook automatically forwards
it to the next person in the queue. After the last person has reviewed your work,
Outlook routes one document -- with everyone's comments -- back to you. To
route a document to a group of people: -
In an open document in Microsoft Word, click the File menu and select Send
to | Routing Recipient. The Routing Slip dialog box appears.
- Click
the Address button to display your Outlook address book and add names to
your routing queue.
- To
add a name to the queue, double click on each name on the left side. Once you
have added all of your recipients, click OK to close the address book.
- In the Routing Slip
dialog box, type in an email subject line in Subject, and a note to your
reviewers in the Message Text field.
- Under
"Route to Recipients," choose One after another.
- Click
OK. Outlook will create an email with your document attached and send it
to the first person in your queue.
